Position Description

Administrative Assistant, Laboratory, provides support to the clinical laboratory for day to day operations. Reporting to the Director of the Laboratory, assists by performing clerical and administrative support functions to include calendar management, minutes of meetings, travel arrangements, prepares expense reports, manages small projects, and assists with support to the various manager and teammate activities.


The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive.

  • Greet visitors; ensure all visitors sign the guest book
  • Receive and distribute incoming mail and prepare outgoing mail as necessary for remote teammates
  • Manage conference room calendar to ensure no overbooking and equipment is ready for use
  • Coordinate meetings for management including catering needs, on and offsite reservations, and attendance, as requested
  • Create and analyze reports, sales commissions statements and presentations as requested by management or Vice President
  • Coordinate travel and lodging arrangements as requested by management, including travel arrangements for remote and new teammates
  • Act as conference call facilitator by opening conference calls as requested by management
  • Take meeting notes, update and distribute notes and action items to appropriate teammates
  • Act as proxy in submission of expense reports for approval and payment, including commission and bonus request forms for management, sales team or Vice President
  • Maintain and distribute Palms South phone extension list in collaboration with Palms North Receptionist
  • Maintain Palms South company vehicle usage in conjunction with Procurement Coordinator, Palms North
  • Coordinate completion and submission of Workers’ Compensation Claims forms for Palms South in conjunction with Laboratory Administrative Assistant according DaVita guidelines
  • Assist in People Services pre-employment process for new hires including but not limited to e-mailing pre-employment paperwork, faxing background check information, setting up teammate personnel file
  •  Assist in room set up, making copies and slide show presentation for One for All Orientation
  • Other duties and responsibilities as assigned including but not limited to:
  • Work overtime with little or no notice as needed
  • Attend team meetings, phone conferences, and training as needed
  •  Know, understand, and follow teammate guidelines, employment policies, and department or company procedures
  • Consistent, regular, punctual attendance as scheduled is an essential responsibility of this position

(Education, licenses, certifications, and experience required to fulfill the essential duties, include computer skills as required):

  • Associates degree or equivalent required; Bachelors degree preferred
  • Intermediate computer skills and proficiency in Microsoft Office Suite including Word, Excel, Outlook, PowerPoint required
  • Minimum of 2 years’ related experience in a general office environment preferred

Physical requirements can vary. These must be reviewed with management. However, in general, the position requires the following physical activities:

Ability to lift minimum of 2 pounds to a maximum of 10 pounds unassisted, and able to sit and use the phone for extended periods of time with some standing, stooping, walking, stretching, reaching and moderate range of body motions



Level III - Moderate noise (examples: business office with computers and printers, light traffic)

No required tasks involve greater exposure to blood, body fluids or tissues than would be encountered by a visitor. The normal work routine involves no exposure to blood, body fluids or other hazardous conditions.
